This position is a key client service role responsible for partnering directly with recruiters, internal and external clients in a professional, diligent and courteous manner. The HR Recruiting Administrator ensures the timely and accurate scheduling, coordination, and processing of applicants, candidates and new hire processes and documentation. This role is also responsible for handling and directing calls from both internal and external clients related to recruitment. Participates and works on special projects and audits and ensures compliance with company and employment policies regarding hiring practices.

Recruitment

-Schedule interviews as directed by recruiters. Co-ordinate interview process and communicate interview details to candidates and interviewers, making certain they have all of the information necessary -Ensure timely and accurate input and update of applicant data in recruiting database. Maintain data integrity -Prepare offer letters for internal and external candidates -Manage the pre-employment process by running background checks, monitoring drug screens, collecting new hire paperwork, fielding questions relating to the onboarding process and acting as a liaison between candidates and recruiters -Co-ordinate internal and external job postings -Ensures that all communication with internal and external applicants is professional -Partners with recruiter(s) to ensure integration of recruiting processes and provides recruiting services in alignment with business need -Ensures that all internal/external visitors and candidates are greeted and directed in a professional courteous and timely manner -Process candidate expenses for payment

New Hire Documentation

-Create new employee files
-Ensure all new hire documentation is on file and maintain list of documents held on file per employee -Maintain accurate recruitment files both hardcopies and pc files -Understands and is able to explain to internal and external clients the status of all new hires being processed and responds to questions regarding general recruitment in person, via email and telephone. Ensures that appropriate recruiter is kept informed.
-Prepare PeopleSoft reports and set-up materials needed for weekly New Hire Orientation on a monthly basis.

Additional Responsibilities

-Ensures that all work assignments are completed on time based on service level agreements and accurately -Facilitate New Hire Orientation as the host on a monthly basis.
-Prioritizes work assignments to accommodate urgent requests as needed -Demonstrates a professional and courteous attitude to colleagues at all times. Acts as an ambassador for the HR department with both internal clients and external clients and vendors -Partners and maintains a professional, courteous and supportive relationship with recruiting and HR team -Develops relationships with other departments' associates to allow for the leveraging of support when issues need to be resolved -Maintains a flexible attitude -Suggests and recommends process improvements -Works with team members to develop creative solutions to workflow issues -Distribute new and updated recruiting policies and procedures as required -Responsible for providing a comprehensive administrative service to the Recruiters on ad hoc projects. For example, internships program, including organizing events and liaising with internal and external contacts

-Bachelor's degree or equivalent experience -Minimum of 2 years prior administrative experience with 1 year HR/Staffing experience preferred -Demonstrated ability to provide the highest level of customer service to all levels of internal and external customers -Able to demonstrate extensive administration experience, ideally having supported a team of 3 or more individuals -Experience of working in a HR function including significant involvement in recruitment administration -PeopleSoft experience is desirable -Well developed IT skills including intermediate Excel -Demonstrated Client Care -Builds Relationships -Self Development -Strong attention to detail -Highly organised and efficient -Ability to work to tight deadlines -Work using own initiative and without close supervision -Excellent interpersonal and communication skills -Demonstrates appropriate confidentiality at all times -Flexible, diligent and dependable -Strong team player -Strong skills in MS Outlook, Word and the ability to learn additional programs as needed
