Provides Administrative support to the Executive in the NY office Office Administration Responsibilities Provide daily administrative support to the V.P., Human Resources, as needed. Greet visitors and direct them to the appropriate contacts. Ensure documentsmaterials are prepared for meetingspresentations. Coordinateschedule meetings, appointments, conference calls across all departments. Maintain executive travel schedule for all TouchTunes executives Manage scheduling of all conference rooms within NY Office. Manage switchboard at front desk. Receivesort all deliveries, mail and arrange for outgoing courier services. Ensure office preparation for new employeestempsconsultants. Manage all duties related to office facilities and liaise with building management. Liaise with IT in Chicago, as needed. Maintain office suppliesequipment for the officekitchen. Ensure main copy room equipment is working and operating. Replenish kitchen supplies, coffee, water on a daily basis. Maintenance of reception area to ensure it remains professional at all times. Responsible for arranging coverage when out of office, with management approval. Updatecirculate phone directory for NY Office, as needed. Order new hire business cards. Distribute pay checks, transit cards, etc. as needed. Responsible for ad hoc projectsresponsibilities relating to the NY Office. Human Resources Responsibilities Monitor record keeping (Excel sheets for car service, benefit, recruiting and social committee invoices) Book appointments, organize and schedule meetings as required for the staff of the Human Resources department (interviews, employee sessions, off-site gatherings) Post job openings on companyrsquos career website and arranges for advertising of vacancies as required using appropriate print and web media Review employment applications in order to evaluate qualifications or eligibility of applicants on a need-to-need basis May schedule conduct phone interviews with job applicants to obtain and verify information used to screen and evaluate them Inform job applicants of their acceptance or rejection of employment Sets up and maintains files for all postings Assists with the website development by updating and maintaining the career site (posting and removing the job descriptions) Prepares onboarding kits for the new hires Coordinate badges passes identification cards and perform other security-related duties Filing Arrange for in-house and external training activities Perform other duties as assigned Skills Competencies Bachelorrsquos degree or demonstrated equivalent experience 3 to 5 years work experience in a similar position Proficiency with all MS Office Suite applications Willingness and flexibility to execute a wide variety of tasks Tactful, confidential, cooperative Team player and positive attitude Excellent work ethic, professionalism and organizational skills Excellent verbal and written communication skills
